Patient Experience Coordinator / Lead Chiropractic Assistant

About the role

You are the first face families see at Fika Chiropractic in Walnut Creek. Moms, dads, babies, and kids walk in nervous. Your job is to help them feel expected, not processed. You keep the room calm so the doctor can stay with the person in front of her.

This is a full-time, in-clinic role for someone who loves people and likes a tidy schedule, clean follow-up, and systems that actually run. You will greet, book, check out, and answer the phone. You will call families who reached out and families who have not been in for a while. Over time, you can grow into Office Manager: owning the schedule, reactivations, desk systems, and nervous system scans off the doctor’s plate.

We are a pediatric and prenatal practice built on nervous system scans and long-term care, not quick fixes. If you want a quiet reception job with no ownership, this is not the right seat.

Schedule: Full-time. In clinic Monday through Thursday, plus two Saturday mornings per month. Not remote.

Location: 1896 Tice Valley Blvd, Walnut Creek, CA 94595 (Fika’s Walnut Creek home; the clinic opens here November 9, 2026).

Pay: $24–$27 per hour, based on what you have already owned in a clinic or wellness office.

What you'll do

• Welcome families: Greet, check in, and walk moms, dads, kids, and babies through their visit with warmth and clear next steps.
• Keep the day moving: Phone, text, and front-desk flow so the person in the room always comes first.
• Own the calendar: Book, confirm, reschedule, and protect the schedule so visits are not stacked or lost.
• Follow through: Return new inquiries the same day. Call families who have not been in and help them find a time that works.
• Talk about care with confidence: Share what the Discovery Experience and ongoing Program involve, including investment, without hedging or freezing.
• Support the clinical team: Room patients, help with first-visit flow, and learn INSiGHT scans and reports so trainable work leaves the doctor’s plate.
• Keep data clean: Accurate records in our scheduling and communication tools so nothing important sits in someone’s head.
• Grow the role: Help tighten desk SOPs, spot a broken loop, and ship a small fix. Strong performance opens the path to Office Manager.

What we're looking for

• Clinic or wellness front desk experience. Dental, chiropractic, med spa, boutique wellness, or similar. “Willing to learn” with no history is not enough for this seat.
• Calm on the phone and at the desk. You can hold a room when the day gets loud.
• Clear with money. You can discuss care investment in the thousands without shrinking.
• Fast with software. You can learn multiple tools and keep them straight.
• Heart for families. You like babies, kids, and pregnant moms. You notice when someone needs an extra minute.
• Ownership mindset. You help before you are asked. You want more than check-in and wait for instructions.

This seat is not a fit if

• You avoid phone calls or in-person conversation.
• You want remote work or a part-time schedule only.
• You need heavy supervision on systems and follow-up lists.
• You want a low-target reception role with no growth path.

Compensation transparency (California)
